Bringing HICA's Training System Together


About HICA: With over 1,500 employees across 26 services, HICA is one of the largest non-profit care organisations in the north of England which specialises in care and support for older people and those with learning disabilities.

The Challenge

Having a large number of staff spread across numerous locations made classroom training for every subject challenging to facilitate. HICA first reached out to Train4Academy as they had an immediate requirement for Fire Safety Training and Level 2 Food Safety and Hygiene Training, which they wanted to deliver online.

Furthermore, the Learning & Development Manager shared two longer-term goals. Firstly, to create a set of Bespoke Care Standards Training Modules for new and existing employees to complete online. Secondly, to move away from their current Excel Training Matrix to one that offered more features and reporting capabilities and was accessible to all senior managers within the group.

The Solution

HICA partnered with Train4Academy to deliver their Health and Safety Training to over 1500 staff and also proceeded to work with us to create their own set of care standard modules which would be accessible from the T4A LMS. HICA also began to use the Train4Academy Training Matrix, which offered an upgrade on features and reporting capabilities such as the ability to automatically re-calculate the compliance rating of a service when users complete training and alerting the L&D Team and Care Home Managers to upcoming refresher training dates.

HICA rolled out the Fire Safety Training to all staff and Level 2 Food Hygiene Training for food handlers after a successful pilot with one of their services. Within just a few weeks of the pilot completing, each of the remaining care home managers had been provided administrator access to their own Training Management Suite and began the process of training their team on the Training Courses.

While the services themselves began the rollout of the training, the L&D Department was able to monitor uptake and completions from each of the sites by using the Training Matrix. This provided a compliance rating for each service, which automatically re-calculated every time a course was completed by a user based at that service.

In tandem, the development of what would be the first of 15 care standards that HICA would eventually bring online began. Previously, this training was carried out in a classroom-based environment. These changes allowed HICA to take a huge step forward in their vision of delivering a significant amount of training online and increasing accessibility of training across the group.




The Result

HICA have now trained over 3000 users on courses including Fire Safety, Level 2 Food Hygiene and Safety, Manual Handling and their bespoke Care Standards Modules - resulting in over 20,000 course completions on the Learning Management System to date.

HICA also achieved their long-term goal of moving from an Excel Training Matrix to one which is held online, resulting in increased accessibility to the Management Team across the business and Care Home Managers.

Once Train4Academy and the L&D Department at HICA had successfully migrated all historic staff training records to the platform HICA began using the T4A Training Matrix for both online and classroom-delivered training. Previously every result needed to be manually entered into Excel whereas now any course result delivered via the Learning Management System are automatically logged saving the L&D Team valuable administration time.

This ensures the HICA L&D Team always have an accurate record of each home's training history and compliance rating, which has resulted in the training data held across the business becoming far easier to report on.
